Patients & medical records
The patient file that never goes missing, never gets duplicated by accident, and follows the patient across every visit, test and invoice.
- Auto-generated per-clinic patient codes (P-00001) that never repeat or reset
- Fast search across name, phone and code, with fuzzy name matching
- Governorate, city and optional national ID, deliberately non-unique, because many patients don't have one
- Duplicate prevention at registration: a live "possible existing patient" match on phone + name
- Chronic diseases, allergies with severity, regular medications, family history, private notes
- Height, weight, BMI, blood type; profile photo; referral source across 11 categories
- Attachments (images and PDFs) in a built-in gallery and lightbox
- Favourites, filters, keyboard shortcuts and CSV export for high-volume front-desk work
- Soft delete only: a removed patient is retired, never erased
Leads: enquiries before they are patients
The WhatsApp message and the phone call that used to live in someone's head now live in a pipeline.
- Five-stage pipeline: New → Contacted → Qualified → Converted / Lost, with live counts
- Source tracking (walk-in, referral, phone, social) and staff assignment
- One-click conversion to a patient record, permanently linked back to the lead
- Filters, search and CSV export
Appointments & today's queue
The appointment book, but it remembers, it explains itself, and it feeds the rest of the day automatically.
- Book, edit, cancel, reschedule, postpone and mark no-show, each a recorded action with attribution
- Eight visit types; list, calendar and day-agenda views; CSV export
- Reschedule chains: a moved appointment points back to the original
- Automatic follow-ups: set a date during the consultation and the next visit is created, typed and linked
- Today's queue in the clinic's own timezone, refreshing itself while staff work
- Bulk mark-arrival, send-to-room with undo, room picker showing occupancy
- Rooms with names in English, Kurdish and Arabic; live occupancy widget with elapsed time
- Stale-data protection: if someone else already moved a patient, the action explains what changed
The doctor's room
The screen the doctor actually works on. Everything the visit needs, nothing it doesn't, and the patient's history one panel away.
- Opens directly on the patient in the room, with a live consultation timer
- Patient context panel: identity, allergies, chronic conditions, regular medications, past visits
- Chief complaint, present illness, vital signs, physical examination
- Diagnoses with ICD-10 autocomplete over the global catalogue merged with your own terms
- Procedures, treatments and surgeries itemised with quantities and fees
- Prescriptions and diagnostic orders placed in-consultation
- Live billing breakdown with discount; the total is computed on the server
- Autosave with a save-status indicator and an unsaved-changes guard
- Ctrl/⌘+S to save, Ctrl/⌘+Shift+Enter to finish: shortcuts that survive keyboard-layout switching
- Switch off sections your practice doesn't use, clinic-wide; existing data is never hidden
- Finish visit creates the invoice and stamps the end time; print a visit summary PDF
- Patient chart with seven tabs mirrors the same layout, one thing to learn
Prescriptions & pharmacy
A legible, bilingual, verifiable prescription printed in seconds, and a dispensing worklist that says what to do next.
- Multi-medication prescriptions with strength, dosage, frequency, duration, quantity and instructions
- Medication autocomplete over a seeded drug catalogue merged with the clinic's own list
- 25 dosage templates (14 frequency, 11 duration), each pre-translated into Kurdish and Arabic
- Bilingual A5 PDF (A4 optional) with a QR code linking to a public verification page, no patient data exposed
- Internal or external dispensing mode, per clinic
- Pharmacy worklist with per-item and partial dispensing; six statuses
- Correcting a dispense requires a reason and a separate permission: control by audit, not by trust
- Reprint at any time; every render is versioned
Diagnostics: laboratory, imaging & cardiology
One worklist for the lab, the X-ray room and the ECG, from order to signed report, including tests done outside the clinic.
- Grouped orders: one order, many tests, one status lifecycle
- Catalogue pane with presets for haematology, biochemistry, microbiology, serology, urinalysis, endocrinology; X-ray, CT, MRI, ultrasound, mammography; ECG, echo, stress test, Holter
- Lifecycle: ordered → sample collected → in progress → completed → pending verification → verified
- Results with value, unit, normal range, critical range and a result flag; "not performed" with a reason
- Findings and interpretation for imaging and cardiology, with modality, body part and laterality
- Two-person verification with send-back reasons; append-only amendment history; restricted reopen
- External diagnostics: print a requisition, then intake the outside result on return, the ordering doctor is notified
- Critical values raise in-app notifications to the ordering clinician
- Signed bilingual A4 PDF reports; attachments gallery with PDF viewer and thumbnails
Invoicing, payments, receipts & expenses
The invoice is not a separate job. It's what the finished visit becomes, with totals the software computes and no one can quietly overwrite.
- One invoice per visit, created automatically from the visit's fee breakdown; INV-00001 numbering
- Server-computed line items, discount and total; seven statuses recalculated as payments land
- Eight payment methods across twelve providers: cash, card, bank transfer, mobile wallet, QR and payment links
- Per-clinic method settings, only the combinations you accept appear at the point of sale
- Full, partial, installment, deposit and refund payments; a twelve-state payment lifecycle
- Cash and card default to paid; transfers and wallets require confirmation before they count
- Void with a required reason; refunds as separate linked records that can never exceed the payment
- Receipts numbered RCT-00001, bilingual, on A5 or 80 mm thermal; VOID watermark on superseded receipts
- Expenses in 17 categories with vendor, supplier invoice, recurrence, approval trail and receipt attachments
Reports, analytics & dashboard
The end-of-month questions, answered from the data the clinic already entered.
- Revenue by method and provider, per currency; expenses by category
- Patient statistics: new vs returning, by governorate, gender, age group and referral source
- Doctor performance: visits, average duration, completion rate
- Presets (today, this month, last 30 days…) or any custom range, all in the clinic's timezone
- Saved reports with daily, weekly or monthly schedules and a run history of frozen snapshots
- CSV download, print view, and a reconciliation check that proves saved numbers still match the data
- Dashboard: work counts, today's panel, revenue cards, trend charts, room status, role-scoped by construction
Printable documents
The clinic's paper, done properly: right script, right direction, right size, right logo.
- Six document types: prescription (A5/A4), invoice (A4/A5), receipt (A5/80 mm), diagnostic report, external requisition, visit summary
- English plus one right-to-left block (Kurdish or Arabic) chosen by a document-language setting independent of the interface language
- Correct Arabic-script shaping and bidirectional text, verified by automated tests
- Your logo, clinic name and address in the correct script on every document
- Every generated PDF is versioned; a reprint supersedes, never overwrites
AI clinic assistant
A chat screen where the doctor asks about the clinic's day and delegates routine bookings in plain language, strictly inside their own clinic.
- Answers from the clinic's own records: today's queue and rooms, appointments for any day, patient summaries, pending diagnostics and prescriptions
- Finance questions use the same figures as the Reports screen and the dashboard, per currency, never converted
- Actions are proposals: book, reschedule or cancel an appointment, mark arrival, create a follow-up or a lead, add a patient note
- Every proposal is a card showing exactly what will run; it executes once, only after a confirm, and a reject runs nothing
- Every change is audited with the doctor as actor and the assistant, conversation and message recorded as its source
- Doctor only, a per-clinic switch that is off by default, and daily and monthly budgets set by the plan
- Replies in English, Kurdish or Arabic, with dates and periods in the clinic's own timezone
- It reaches data only through the same guarded operations the screens use, so it can never see another clinic
- It never diagnoses or prescribes, and cannot delete records, change members, billing or settings, export data, or record payments
Audit log & access control
The answer to "who changed this?" for every clinical and financial record, permanently.
- Audit entries written inside the same database transaction as the change
- Actor, role at the time, action, entity, before/after snapshots, IP address, browser, timestamp
- Default-deny field allowlist: sensitive columns never enter the log
- Viewer with filters, side-by-side diffs, links to the changed record, and CSV export
- Nine roles, twenty protected resources, permission checks on every operation at three layers
- A dedicated auditor role that sees the audit log and nothing else
Clinic setup & customisation
Set it up in an afternoon; run the clinic on it tomorrow.
- Clinic name and address in English, Kurdish and Arabic; logo with cropping; brand colour
- Fifteen clinic specialties that filter the clinical catalogues
- Your own medical terms with prices that drive billing prefill; quick-add from any autocomplete
- Rooms, payment methods, paper sizes, consultation sections, diagnostics rules
- Staff invitations by email with a role; pending invitations; ownership transfer
- Shared catalogues maintained centrally: ICD-10 with Kurdish and Arabic names, drugs, tests, procedures, treatments, surgeries
Account, security & platform
Modern web application: nothing to install, works on the clinic's existing computers, phones and tablets.
- Email + password with verification, passkeys, two-factor authentication, magic links
- Active session management: see every signed-in device and revoke any of them
- Per-clinic subscription with a 7-day grace period and a read-only fallback, never data loss
- Multi-clinic: belong to several clinics with different roles and switch from the header
- In-app notification centre with per-user preferences
- Presigned-URL file storage: files are never served straight from the bucket
- WCAG 2.1 AA target: contrast, keyboard operability, visible focus, reduced-motion alternatives
